ITServ Increases Storage Quota, Improves Service

A. MAIL SERVER MIGRATION FOR IMPROVED SERVICES

Starting November 8th in the evening, ITServ will roll out a new mail
system that will give users a disk storage quota of 100 Mb compared to
the current 10 Mb. This system is also expected to provide:

  • faster response times (new NAS storage back-end)
  • improved reliability (3 servers instead of 1, new storage
    format avoiding mailbox corruption)

  • more flexible quota management with a grace period (instead of
    immediately bounced mails)

More improvements will follow after this first stage, such as an
improved web mail.

Please carefully read the information below, which details the steps
that will be taken:

1) on November 8th at 18:00, mail service will be switched to the new
server. The usual names (mailserv etc.) that are used to refer to our
mail server will be switched. Due to caching of names on the client
side, you may have to wait for an hour or alternatively restart your
computer to access the new system. NO other action is required.

2) at that time, ALL MAILBOXES KEPT ON SERVERS WILL TEMPORARILY BE
SEEN AS EMPTY. However new mail can be sent and received. Users of POP
(a large majority of people using Outlook Express and other mail
client programs) keep their mail on the local disk of their computers,
so this will generally not affect them (except if their computer was
off lately). All services (SMTP, POP, IMAP, web mail) will be
available. During the following night, the INBOX mailboxes will be
copied over from the old server, so your old INBOX mail will appear
progressively in addition to newly received mail if you connect over
IMAP or use the web mail, or if you had some unread POP mail.

3) on November 9th not later than 12:00 hrs., all INBOX mailboxes will be
available, however OTHER MAILBOXES WILL STILL BE SEEN AS MISSING.
(these are 'sent-mail' and all other mailboxes you may have created).
Again, this concerns only users of IMAP or web mail.

4) during the next 24 hours, so until November 10th 12:00 hrs.,
all other mailboxes will be copied over from the old server. By
November 10th at 12:00 hrs., the data migration will be complete and
all users should have access to all their existing old mail.

5) during the whole transition period (from 8th 18:00 hrs. to 10th 12:00
hrs.) you may find the mail service slower than usual due to the
load caused by data migration. This is a temporary situation. Kindly
bear with us for the possible inconvenience.

After the transition is complete, more information will be sent to you
explaining how to change the names you use to refer to the mail
servers in order to take full advantage of the new service. However no
change will be required for uninterrupted usage.
